How to Sync Airbnb, VRBO, and Booking.com Calendars (Without Double-Booking)

If you list the same property on Airbnb, VRBO, and Booking.com, those three calendars have to agree with each other. When they fall out of step, two guests end up holding the same dates and you have to cancel one of them. That costs you a refund, a bad review, and often your search position on the platform you cancelled through.


Why Calendar Sync Matters

When a guest books three nights on Airbnb, those dates need to be blocked on VRBO and Booking.com straight away. Without sync, you risk:

  • Double-bookings. Two guests confirmed for the same dates, forcing you to cancel one.
  • Platform penalties. Airbnb and VRBO can demote or suspend listings with frequent cancellations.
  • Bad reviews. Cancelled guests tend to leave negative feedback even though the stay never happened.
  • Lost revenue. Time spent firefighting double-bookings is time not spent on guests.

What Is iCal Sync?

iCal (short for iCalendar, file extension .ics) is a universal calendar format supported by nearly every booking platform. Each platform can export a calendar feed URL, and import feeds published by other platforms.

Here's how the flow works:

  1. Platform A publishes a URL that contains all booked dates in iCal format.
  2. You paste that URL into Platform B's "import calendar" setting.
  3. Platform B periodically fetches the URL and blocks those dates on its own calendar.
  4. You repeat the process in reverse, importing Platform B's export URL into Platform A.

Each link only carries dates one way, so a pair of platforms needs two of them. Across three platforms that is six links, because each one imports from the other two.

Step-by-Step: Sync Airbnb Calendars

Export Your Airbnb Calendar

  1. Log in to Airbnb and open Calendar.
  2. Pick your listing, then open Availability.
  3. Under Connect calendars, click Connect to another website.
  4. Under Step 1, click Copy next to your Airbnb calendar link. You will paste it into VRBO and Booking.com.

Import a Calendar into Airbnb

  1. On the same Connect to another website screen, go to Step 2.
  2. Paste the iCal URL from VRBO or Booking.com into Other website link.
  3. Give it a Calendar name, such as "VRBO Calendar".
  4. Click Add calendar.
Tip: Airbnb refreshes imported calendars roughly every 3 hours. During a busy booking period, that gap is long enough for a conflict to slip through.

Export Your VRBO Calendar

  1. Log in to VRBO and open Calendar from the left menu.
  2. In the settings panel, open the Availability tab.
  3. Under Calendar sync, click Connect calendars.
  4. Under Step 1, click Copy link. VRBO copies the link without showing it, so paste it straight into Airbnb and Booking.com.

Import a Calendar into VRBO

  1. On the same Connect calendars screen, go to Step 2.
  2. Enter a Name, such as "Airbnb Calendar", and paste the iCal URL from Airbnb or Booking.com into Calendar link.
  3. Click Save.
Tip: VRBO typically refreshes every 2 to 6 hours. As with Airbnb, there is no way to force an immediate sync.

Export Your Booking.com Calendar

  1. Log in to the Booking.com Extranet.
  2. Go to Rates & Availability → Sync Calendars.
  3. Copy the Export iCal URL for your property.

Import a Calendar into Booking.com

  1. In the same Sync Calendars section, click Add Calendar Connection.
  2. Paste the iCal URL from Airbnb or VRBO and name the connection.
  3. Click Save.
Tip: Booking.com refresh times vary widely, from minutes to a full day, and the interval is not configurable.

Common Problems with Manual iCal Sync

iCal sync works, but it has real limitations that every multi-platform host should know:

1. Sync Delays

This is the biggest risk. Most platforms only fetch imported calendars every few hours. A guest can book on VRBO inside the window before Airbnb's next refresh, and both bookings stand.

2. One-Directional Links

Each iCal link only goes one way. If you import VRBO into Airbnb but forget the reverse link, VRBO never learns about Airbnb's bookings and will happily take a reservation on top of one.

3. No Error Alerts

If a calendar URL breaks or stops updating, platforms usually don't warn you. Your calendar can silently fall out of sync for days or weeks.

4. Manual Link Management

With three platforms you need six links. Add a fourth and it becomes twelve. Each new property multiplies it again, and there is no single screen that tells you which links are still working.

5. Only Blocks Dates

iCal sync shares date availability and nothing else. Pricing, guest details, check-in instructions, and minimum-night rules all stay unsynced.

Can I sync more than three platforms?

Yes. Any platform supporting iCal export and import can be connected. With manual sync the number of links grows quickly, since every pair of platforms needs two of them.

What happens if I get a double-booking?

You will need to cancel one reservation. Most platforms penalize host-initiated cancellations with search ranking demotions, fees, or the loss of Superhost and Premier Host status. Prevention is far cheaper than the cure.

Is there a free way to sync calendars?
